Report to office administrator to ensure that the firm’s reception and administrative needs are met efficiently, reliably and economically. Work with HR & Admin Co-ordinators as a team for various office administrative projects and business needs.
1. Receive telephone enquires and manage facsimiles
Pleasantly and efficiently answers busy switchboard by screening and transferring incoming telephone calls to appropriate attorney or staff member. Responsible for taking accurate messages from callers or visitors and the timely distribution of same to attorney or staff member.
2. Host visitors
Maintains visitor list, issue visitor passes ensuring that only authorized personnel enter premises. Greets clients and/or others in a professional manner and informs attorneys or staff members of their arrival. Attends to clients and/or others initial comfort. Arrange conference room and office space for visiting attorneys.
3. Tour arrangement
Provide sightseeing, tour information etc
4. Conference service (include Video, virtual conference call, catering)
Schedules and coordinate conference rooms and monitors their use and availability. Assists attorneys and secretaries in the video or visual conference and make sure all the equipment is in good status.
5. Access cards management, entrance, security control and attendance recordsMaintains good order of entrance and security. Making accurate records of staff attendance and assist in doing monthly report for review. Coordinate on the application of lobby access card and manage VIP cards.
6. Courier, post and stationary
Assists in mailing, local delivery, stationary, food and beverage order when necessary.
7. Office facilities (building management, housekeeping, office car)Maintains a neat and organized reception area, including reorganizing newspapers and marketing materials whenever necessary. Coordinate with cleaner for office cleaning and tea/coffee preparation. Coordinator with driver for office car using.
8. Library (local office)
Responsible for the daily library service operations. Maintains and updates the database of library.
9. Prepare Reports
Work with billing colleague to complete monthly report including courier, post and stationary, colour printing and photocopy, drinking water, plants, coffee beans, etc
10. Other administrative functions required by the supervisors.
