I can just use the simple sentences to write a simple meeting invitation, like

Dear all
The department meeting is going to be held at 10:00 A.M. Monday, 11th December.

Please kindly help to figure out better one, thanks.

Abstract submissions have just started for the AGU 2006 Fall Meeting, 11-15 December 2006, held in San Francisco, CA.  

The Fall Meeting brings together more than 12,000 researchers, teachers, students, scientists, and consultants to present and review the latest issues affecting Earth and space science.

Our Session is: V12 (Volcanology) “To What Depth Can Continental Crust be Subducted: Observations from Ultrahigh- Pressure Metamorphic Rocks, Experiments and Numerical Modeling ”

The deadline for abstract submissions is 7 September 2006.

A FINANCIAL SUPPORT FROM TASK-FORCE IV to the presenters will be available. We plan to help UHPM active members presenting talks - first priority) and posters (second priority)to cover their Conference Fee, and Fee for abstracts submission (total sum is expected to be ~$400 for one applicant). Please don't forget that AGU offers the lower price for Abstract submissions  to AGU members.

Regular AGU memberships is $20.

PLEASE SEND ME YOUR REQUEST FOR FINANCIAL AID (together with the title of your presentation) AFTER YOUR ABSTRACTS SUBMISSION.
